The accounts payable team was manually processing 800+ vendor invoices per week — keying data from PDFs into the ERP, routing for approvals via email, and reconciling against purchase orders. Error rates were at 6% and staff overtime was climbing.

Our Solution

Deployed a UiPath RPA bot pipeline with Azure Document Intelligence for OCR extraction, automated ERP entry, and approval workflow integration.

We mapped the end-to-end invoice workflow across 12 process steps before building a single bot. The most time-consuming bottleneck was extracting structured data from vendor PDF invoices — each with a different layout. We trained an Azure Document Intelligence custom model on 2,400 historical invoices to achieve 97.8% field extraction accuracy across all vendor formats. The RPA layer then handles ERP entry, 3-way PO matching, and routing to the right approver based on amount and cost center. Exceptions (unusual invoices or mismatches) are flagged to the human team with pre-filled review screens — reducing exception handling time by 65% even for the cases that do need human eyes.
